# Payroll Implementation

## **Adding Monthly Payroll**

* After setting fixed salaries, administrators can add the monthly payroll.
* **Operation Steps:**\
  ① \[Payroll] > \[Monthly Payroll] > \[Add Payroll]\
  ② Select the payroll template and the payroll month; you can choose to generate the payroll for this month or next month, then click "Confirm."\
  ③ After generating the payroll, administrators can click \[Check Details] allows you to see detailed information for both the summary payroll and the monthly itemized payroll.

### 1.1 **Online Editing**

* If administrators wish to manually change some variable data while viewing the payroll, they can click \[Online Edit] at the top of the payroll. Once in the editing page, administrators can modify or enter variable salary items.
* The page table is divided into two colors: white for variable salaries (editable online) and gray for fixed salaries (not editable online).
* After making changes, click \[Save].

### 1.2 **Importing Data for Salary Calculation**

* Performance pay/hourly wages can be calculated by importing data. This section will describe the method for importing data to link with the monthly payroll. Click \[Calculation] at the top right of the monthly payroll.
* **Operation Steps:**\
  \[Payroll] > \[Monthly Payroll] > \[Check Details] > \[More Functions] > \[Import Salary Data]\
  Download the import template and modify the amounts in Excel, then upload it when done.\
  **Note:** Gray fields are system-calculated items; if modifications are needed, you must first adjust the compensation calculation rules or add another salary item for adjustments.

### 1.3 **Syncing other Information in Monthly Payroll**

* After adding the payroll, if any changes occur in attendance (such as new hires, terminations, or unexpected leave), administrators must update the data in the monthly payroll by clicking \[Sync Attendance] and \[Sync MPF information]. \
  **Sync Attendance:** Any changes related to attendance need to have the attendance data updated.
* if there's any Accounting Performance Commissions to add eg. commission or bonus, can add by checking the Accounting Performance Commissions button. After added and synced all data, can click "Calculation".
* **Operation Steps:**\
  \[Payroll] > \[Monthly Payroll] > \[Check Details] > \[Calculation] > \[System Calculation]&#x20;

### 1.4 **Daily Average Salary**

* Administrators can export the ADW detail report to view the detailed calculation of daily average salaries. If modifications are needed, they can click for online editing.

### 1.5 Verify Payroll Details

* Administrators can "click in" to view payroll details and verify the information. If needed, modifications can be made to the calculation methods in the Salary Rules. After making changes, remember to add the new calculation rules to the Wage Group.

### 1.6 **Distributing Payslips**

* Once all information in the payroll is confirmed to be correct, the \[Electronic Payslip] can be sent out.
* **Operation Steps:**\
  ① \[Payroll] > \[Electronic Payslip] > \[Add Payslip]\
  ② Administrators need to enter the payslip name, for example: September Payslip, etc.\
  ③ After selecting the recipients and setting the distribution template, click "Next."\
  ④ The system can set a confirmation time for the payslip; the confirmation days allow employees to raise any issues regarding the payslip to the administrator within the specified days.\
  ⑤ The system provides two distribution methods: 1. YOOV WORK APP, 2. Sending emails - notifying employees, who can view their latest payslip in the App.\
  ⑥ Administrators can choose to send to specific employees or distribute to all employees at once. Click on individual employees or select all employees, then click \[Send to Selected Employees].\
  ⑦ After successful sending, administrators will see the following page: click \[Check Granting Details] to check the status of the payslip distribution. The sending details page shows the number of recipients, sending status, feedback issues, etc.\
  **Note:** If you want the company logo to appear on the payslip, please add it in the "Company Information" section under \[User Center].

### **1.7 Payslip Password Settings**

* The payroll management system can include a payslip password setting, requiring password verification to view payslips in the app.
* **Operation Steps:**\
  ① \[Payroll] > \[Payroll Setting] > \[Global Settings] > \[Payslip Secure Login] , which is set to "Off" by default.\
  ② Once enabled, employees will need to verify their password before accessing the payslip application, ensuring that they are the ones performing the operation.
* The system supports employees in resetting their payslip passwords, which can be done by HR selecting the employee for the reset. When employees try to view payslips in the app, they will receive a prompt to set a password first.
